Summary

Applies principles of accounting and internal controls to process invoices, checks and deposits for properties. Prepares and issues annual vendor tax forms for properties.

Essential Duties & Responsibilities

  • Imports and posts to the accounting system transmitted deposits, invoices and financial information from properties on a daily basis.
  • Processes invoices on a twice-monthly basis meeting deadlines set up in check processing schedule. Logs in invoice packages, review invoices imported from the site for errors, request payment priority, print checks, obtain check signatures and mail out checks.
  • Pays each properties’ monthly mortgage on a timely basis.
  • Prints and maintain aged payable reports with outstanding invoices on a property basis.
  • Reviews current cash balances for appropriate accounts to insure sufficient funds prior to check printing. Notifies supervisor and related operations personnel as to discrepancies and shortfalls.
  • Inputs utilities invoices received directly to the central office into the accounting system.
  • Maintains all unpaid invoice files and all paid intercompany, tax and mortgage invoice files for properties in a clear and easily accessible manner. Maintains other files as assigned.
  • Maintains vendor information files and tax (1099) related information for current vendors. Prepares and issues 1099 and 1096 tax information returns to all applicable vendors in a timely manner at the end of the calendar year.
  • Answers all vendor inquiries. Investigates any problems and resolves discrepancies.
  • Prints all accounts payable reports and maintains all accounts payable files.
  • Prepares analysis of accounts, as required.
  • Prepares and maintains calendar for submission and processing of invoices.

Qualifications

EDUCATION and/or EXPERIENCE

  • Two years of college level courses with an emphasis in accounting or six months to one year related experience and/or training; or equivalent combination of education and experience.
  • Associate’s degree or equivalent preferred.
  • One to two years’ work experience in accounts payable processing a plus.

 

PREFERRED SKILLS and/or ABILITIES

  • Acceptance and application of the confidential nature of the position.
  • Strong PC skills
  • Proficient in Excel and Word and online computer software applications.
  • Good communication (verbal and written), decision making and time management skills.
  • Ability to work independently and as part of a team.
  • Ability to establish and maintain complex records and files.
  • Ability to work under pressure and successfully meet deadlines.
  • Ability to relate professionally and sensitively to staff and public.

 

CERTIFICATES, LICENSES, REGISTRATIONS 

Valid California Driver’s License and insurance required.

  

LANGUAGE, MATH & REASONING SKILLS

Ability to read and comprehend written instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one situations to customers, clients, and other employees of the organization. Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance. Ability to work with mathematical concepts.  Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.  Able to analyze and review financial data.  High degree of accuracy in mathematical computations. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Physical demands include writing/typing, use of computer and paper files, answering phones, attending meetings.
