  • Summary

    Applies principles of accounting to prepare and analyze property financial statements.  Prepares audit schedules and budget information.  Prepares reports to summarize and interpret current and projected financial position of assigned projects.  Assists in and provides back up in the accounts payable process.

    Essential Duties & Responsibilities

    • Reviews month end financial packages (which include summary and detail of rents and subsidies billed and collected, other charges or credits applied to tenants, security deposit information and other tenant related activity) received from apartment sites for reasonableness and accuracy.
    • Inputs pertinent information to general ledger module Yardi in order to generate monthly financial reports. Financial reports are prepared on a site-by-site basis and are not consolidated.  Reviews financial reports in collaboration with Property Supervisors in preparation of issuing reports internally and to third parties.
    • Prepares written analysis of outstanding issues and questions relating to monthly financial reports. Coordinates with Property Supervisor to resolve issues in a timely manner.
    • Prepares initial monthly variance reports. Collaborates with the Property Supervisor for investigation of variances and/or completion of explanations for variances.
    • Reconciles bank statements of each property and related company utilizing the monthly closing procedure within Yardi.
    • Prepares and reviews recurring invoices as they pertain to management related fees, monthly transfers for restricted cash accounts and mortgages.
    • Ensures timely payments of mortgages, taxes, reserves and other fees for assigned properties.
    • Prepares reports needed to evaluate progress, financial status and needs of specific properties.
    • Ensures regular and timely filing of all property financial information in centralized accounting files to include any supporting documentation used to make adjustments to the monthly financials.
    • Prepares initial budget worksheets for assigned properties to include: input of prior year actual costs, current budget, cost to date and reviewing of formulas for current year estimates.
    • Prepares year-end adjusting entries for assigned properties. Reviews and updates year-end supplemental schedules. Gathers information needed by auditors for year-end fieldwork.
    • Provides back up to the Accounts Payable Clerk and prepares and distributes checks for assigned properties, as needed, to include:
    • importing bank deposits and invoice schedules and other data from remote sites
    • posting recurring invoices as they pertain to management related fees, monthly transfers for restricted cash accounts and mortgages
    • reviewing invoice schedules imported from sites and comparing with supervisor approved invoice packages and bank deposits to date
    • printing, reviewing, distributing checks for signature and mailing checks processed using the Yardi system
    • preparing and reviewing aged payable reports for Property Supervisor review
    • inputting of payroll and reimbursable expense invoices

    Qualifications

    EDUCATION and/or EXPERIENCE

    • Two years of college level courses with an emphasis in accounting or commensurate accounting experience.

    PREFERRED SKILLS and/or ABILITIES

    • Strong PC skills; proficient in Word, Excel and Yardi software.
    • Ability to work under pressure and successfully meet deadlines.
    • Strong communication (verbal and written), decision-making, interpersonal and time management skills.
    • Flexible, creative, well organized.
    • Ability to handle shifting and multiple priorities in a fast paced, growth environment.
    • Ability to work independently and as part of a team.
    • Ability to exercise tact and diplomacy and to maintain confidentiality.

    CERTIFICATES, LICENSES, REGISTRATIONS 

    Valid California Driver’s License and insurance required.

     

    LANGUAGE, MATH & REASONING SKILLS

    Ability to read and comprehend written instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one situations to customers, clients, and other employees of the organization. Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance. Ability to work with mathematical concepts.  Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.  Able to analyze and review financial data.  Highly accurate in mathematical computations. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
